At Gibbs Marsh Equine Veterinary Ltd we value your privacy and therefore only hold and process information that is necessary to provide you with our professional services. Access to this data is limited to those members of staff who require it to carry out their duties.

What information do we hold and how do we collect it
We only hold personal information that we require to conduct our business, which includes:
- Client names
- Addresses
- Telephone numbers
- Email addresses
- Yard addresses
We also store a full medical history of our clients' horses including medications, procedures and images (including any history given by previous veterinary practices).
This information is collected during the registration process, through our online forms, and is updated after each visit.
Information you send us via the website may include your name, contact details, yard or home address, horse details, appointment requests, prescription requests, and any message you include in a contact or enquiry form.
We do not retain any bank or payment details.

Why do we hold this information and how is it used
We only use this information to enable us to provide you with our professional services such as site visits and for invoicing purposes. We may from time to time contact you with newsletters or information about client evenings and services we can provide, but you have the right to opt out of any marketing information at any time.
Where you submit an online form, we process your information to respond to your enquiry, register you as a client, or carry out the service you have requested. For registration and similar forms where you confirm acceptance of our terms, we rely on your consent and the steps needed to enter into a contract with us. For general enquiries, we rely on our legitimate interest in responding to you.

Sharing information
All information is stored within our third-party practice management system software, which is password protected and can only be accessed by authorised staff members.
We do not pass on any information that we hold without your prior permission, either verbally or in writing. This includes other veterinary practices and insurance companies.
We use trusted service providers who process personal data on our behalf and only as we instruct them. This includes our practice management software provider and Netlify Inc., which hosts this website and delivers online form submissions to us. These providers are not permitted to use your data for their own purposes.

Our website and online forms
This website is hosted by Netlify Inc. Pages are served from Netlify's content delivery network.
When you submit a form on our website, your information is transmitted securely to Netlify Forms and a notification is emailed to our practice. Forms include contact enquiries, client registration, adding a horse, booking appointments, routine appointment requests, prescription requests, and pre-purchase examination enquiries.
Form submissions are held in Netlify's secure system only for as long as needed for us to process your request. We then record the information in our practice systems. The website is not used as a long-term store of clinical records.
Netlify Inc. is based in the United States. Where personal data is processed outside the UK, we ensure appropriate safeguards are in place, including Netlify's data processing terms.
The interactive map on our Contact and The Practice pages loads map tiles from OpenFreeMap (using OpenStreetMap data) when you scroll to the map. This sends a network request so the map can display; it is not used to track you, and OpenFreeMap does not use cookies. Map tile servers may receive your IP address as part of normal internet traffic.
Website fonts are hosted on our own site. We do not load fonts from third-party services such as Google Fonts.
Some below-the-fold images may be optimised and delivered through Netlify's image service. This does not involve cookies.

Your rights
You have the right to view what data we hold about you and you also have the right to request that we make amendments to information that we hold about you, or to request that we delete part or all of your data. Please note that we may not always be able to comply with deletion requests as we are required to keep certain information by law.
